For regulators

Renewal shouldn't take your team six weeks to issue.

We help regulators run registration and renewal so staff spend their time on the applications that need judgement, not the ones that don't.

The problem regulators share

Eligibility lives in six places, and one person knows where

Eligibility for a practising certificate depends on CPD compliance, conditions, entitlements, PII, trust account status and changes to practice. Each of those lives in a different place. In most regulators, the only thing that pulls them together is a senior staff member who knows where everything is kept and what to ask.

So renewal season runs on people. Practitioners send forms and ask what applies to them. Staff chase missing declarations. Finance chases payments. Compliance chases CPD. The same six weeks happen every year.

What changes

Most applications clear on their own

Only
what applies

A renewal built for each practitioner

Each practitioner sees only what applies to them this year, based on their conditions, entitlements and CPD position.

Before
they submit

Checks run as they fill it in

A CPD shortfall is flagged before they submit, not weeks later by an officer who has spotted it.

By
exception

Staff see the ones that need a person

An unusual PII situation, a CPD claim to review, a trust account approval. The rest clear without staff touching them.

On
approval

The certificate is issued straight away

No queue between an approved application and the certificate.

Next
cycle

Your team changes the rules

When policy or law changes, your team adjusts the process themselves for the next renewal.

What doesn't change

Your controls stay

Audits, conditions on certificates and human review of the hard cases are there for good reason. We take the routine checking off your staff so they have time for those.

We also work with what you already own. The Board below kept iMIS as its system of record.

Proof

Legal Practice Board of Western Australia

The Board regulates every legal practitioner in Western Australia. With 3DN it rebuilt renewal as a guided flow inside a Practitioner Service Hub, bringing renewal, CPD, profile changes, trust account matters and PII declarations into one place. ProcessMaker runs the validation logic, iMIS holds the records, Howler sends the notifications and Power BI gives management a live view.

Practitioners now renew on their own. The Board’s staff work on the applications that need them, and on improving the process for next year.

Five things to check on your own system

Answer these about last year's renewal

1

Of last year’s renewals, how many did a staff member open before approving?

2

Where does a practitioner’s CPD position live, and who checks it against their conditions?

3

How long is it between a complete application and the certificate being issued?

4

When a condition is imposed or lifted, how many places does someone update by hand?

5

Do you bring in extra people for renewal season?

If the answers bother you, we'd like to hear about it.
