Automating iMIS membership renewals end to end

A membership organisation running iMIS used to rely on staff to send renewal notices, chase members who hadn’t paid and lapse the ones who never did. Now a set of daily jobs does that, alongside iMIS.

At 6am each day, members whose membership expires within eight weeks are billed in iMIS. Reminder emails go out 45 and 7 days before expiry, then 7, 30 and about 55 days after. Each carries a link that renews in one click, with no login. Members pay by card, direct debit or BPAY, and automatic renewal is ticked by default, so next year those members get a notice and the charge goes through on its own.

Every two hours a reconcile job finds paid renewals, sets the new expiry and marks the member active. The new term runs from the old expiry date, never from the day the member paid, so paying late doesn’t shift anyone’s year. Sixty days after expiry, members who still haven’t paid are lapsed and sent a final email, unless a payment is waiting to be posted.

Staff still post the day’s payment batches each morning. They no longer chase renewals.
